Why This Is Ongoing, Not One-Time

Entity and header registration are one-time. Templates aren't.

Your Principal Entity registration and Sender ID approval are steps you complete once. Template management is different- every new campaign, new use case, or new message type needs its own newly-approved template. Templates are also where most compliance risk actually lives: sending a message that doesn't match an approved template isn't just a delivery failure, it's a TRAI violation that can get your header suspended.

  • An approved template cannot be edited- any content change means submitting a new one and waiting again
  • The message sent must match the approved template exactly, except for {#var#} substitutions
  • Dynamic content must use {#var#} syntax specifically- no other placeholder format is recognised
  • Approval speed depends heavily on category- transactional is often near-instant, promotional and service are manually reviewed
The Three Template Categories

Choosing the wrong category is the most common- and costliest- mistake

Every template you submit is assigned to one of three categories, and that assignment determines who can receive it and how fast it gets approved.

  • Transactional

    Reaches DND Numbers?
    Yes- all numbers
    Approval Speed
    Often auto-approved within minutes
    Example Use
Your OTP for {#var#} is {#var#}. Valid for 10 minutes. - GETCLK
  • Promotional

    Reaches DND Numbers?
    No- blocked on DND numbers
    Approval Speed
    2-5 business days, manual review
    Example Use
Get 30% off orders above Rs. 999. Code: {#var#}. Valid till midnight. - GETCLK
  • Service (Implicit / Explicit)

    Reaches DND Numbers?
    Yes- all numbers
    Approval Speed
    2-5 business days, manual review
    Example Use
Dear {#var#}, your appointment on {#var#} at {#var#} is confirmed. - GETCLK
Template Format Rules

What every approved template has to follow

Exact-Match Enforcement

The message you actually send must match the approved template exactly, except for text substituted into {#var#} positions- any deviation gets rejected at the network level before delivery.

No Post-Approval Edits

An approved template cannot be edited. Any content change- even a single word- means submitting a brand-new template and waiting for fresh approval.

Character Limits

160 characters for standard encoding, 70 characters if the template uses special characters or Devanagari text. Most DLT platforms accept up to 640 characters (concatenated SMS), billed as multiple SMS units.

Variable Limits

Up to 30 variables are typically allowed per template, though the practical limit varies by operator. Templates with far more variables than the message genuinely needs are commonly flagged for manual review.

Category-Content Alignment

The declared category must match what the template actually sends- registering promotional content as transactional to dodge DND rules is a compliance risk, not just a technical mistake, and can lead to header blacklisting if caught after approval.

Submission Steps

How to submit a template that gets approved first try

1

Pick the right category

Match the category to what the message actually contains- Transactional for OTPs and order/account confirmations, Promotional for offers, Service for reminders and account updates that aren't purely transactional.

2

Write content matching a real use case

Generic or vague content invites manual review. Always identify your business by name or Sender ID, and write the message you'll actually send- not a placeholder you'll edit later, since edits after approval aren't possible.

3

Use {#var#} syntax correctly

Every dynamic field- name, date, amount, order number, URL- must use the {#var#} placeholder exactly. No other format is recognised by the DLT system.

4

Keep variable count reasonable

Use variables only for content that genuinely changes per recipient. A simple appointment reminder needing 15 variables is a signal something's off, and will likely get flagged.

5

Submit through your DLT platform

Submit under your registered entity and approved Sender ID, referencing any URL domain you've already registered separately under your entity.

6

Expect category-dependent approval speed

Standard transactional templates often auto-approve within minutes on platforms like Airtel and Jio. Promotional and service templates go through manual review, typically 2-5 business days.

Common Rejection Reasons

Why templates get rejected- or worse, flagged after approval

Most rejections trace back to a small, predictable set of issues- checking for these before submission saves a resubmission cycle.

Wrong Variable Syntax

Dynamic content must use {#var#} exactly. Formats like [name], %s, or {{variable}} are rejected outright- the DLT system only recognises one placeholder format.

Category-Content Mismatch

Submitting promotional content under a transactional or service category to bypass DND restrictions is flagged during review, and can result in header suspension if it slips through and is caught later.

Excessive or Inconsistent Variables

A template with far more variables than the message needs- or variables that don't map cleanly to real substituted content- routinely triggers manual review and delay.

Prohibited Content

Competitor brand names, guaranteed-return claims, language implying TRAI or government endorsement, lottery/prize wording without prior consent setup, and requests for OTPs or passwords from the recipient are all automatically rejected.

Unregistered URL Domain

If a template includes a link, that domain must be registered on the DLT platform under your entity before the template will be approved- and URL shorteners are increasingly flagged instead of your actual domain.
